How Long Should a Cover Letter Be? Word Counts by Situation

How long should a cover letter be? Aim for 250 to 400 words on one page. See lengths by situation, a word budget and a 269-word sample.

How long should a cover letter be: a one-page letter marked 250 to 400 words on a violet JobsAICopilot cover

A cover letter should be 250 to 400 words, split into three or four short paragraphs, and never longer than one page. Aim for about 300 words unless the employer sets a limit. An email cover letter should be shorter, around 150 to 200 words.

Key takeaways

  • Aim for 250 to 400 words on one page, with three or four paragraphs. About 300 words is a safe target.
  • Follow any limit in the posting exactly. A stated word, character or page cap overrides every general rule.
  • In a survey of 625 U.S. hiring managers, 83% said they always or frequently read cover letters, and 36% spend under 30 seconds on one (Resume Genius, 2022).
  • Email cover letters run about 150 to 200 words; online-form questions are often 100 to 250 words per answer.
  • Cut anything that repeats your resume. Never cut the role name, one measurable result and a clear close.

Length is a decision about reader time. The same rules apply whether you write every letter yourself or let an AI job application bot draft and send them, and the AI cover letter generator can produce a first draft to trim: a letter that gets to the point in under a minute does its job. Below you will find targets by situation, a word budget for each paragraph, what hiring managers report about reading, a full 269-word sample, and the norms in other countries.

How many words should a cover letter be?

A cover letter should be 250 to 400 words, which is half a page to one full page in 12-point type with 1-inch margins. As of October 2026, that is the range in Indeed’s career guide, and The Muse’s roundup of expert advice lands in the same place: under one page, three to five paragraphs and under 400 words.

Shorter is increasingly the safer bet. Coursera’s guidance is to keep the letter to a half page, around 250 words, with plenty of white space. Resume.io (May 2026) suggests 200 to 250 words for entry-level candidates and 300 to 400 for mid-level professionals, and says letters above 500 words lose their impact.

Resume Genius found that the average preferred length among managers who read cover letters was 400 words, and managers who rated cover letters as important tended to prefer longer ones. Treat 400 as a ceiling, not a target: the survey measures stated preference, not what earns an interview.

How long should a cover letter be for each situation?

Match the length to the situation: a student with one internship needs fewer words than a director with ten years of results. The table gives a target for each case. Rows marked “Sourced” come from the cited guidance; the others are our editorial recommendations.

A career-change letter earns extra words only if they build a bridge. A teacher moving into training and development should name two transferable results, not retell a teaching career. If you are making that move, the AI career change helper can map your skills before you write.

How should you split the words between paragraphs?

Give each paragraph a job and a word budget: about a fifth of the letter for the opening, half for proof, a sixth for fit with the employer and a sixth for the close. The budget below adds up to about 270 words and matches the sample letter further down.

ParagraphJobWordsWhat to include
1. OpeningName the role and your strongest fit40 to 60Job title, company, one result or credential that matches the posting’s top requirement
2. ProofShow the result80 to 140 (one or two paragraphs)One to three achievements with numbers, each tied to a requirement in the posting
3. FitExplain why this employer40 to 70One specific detail: a product, a customer group, a mission, a recent project
4. CloseAsk for the next step30 to 50Interest in talking, a note on what is attached, thanks

The greeting and sign-off add about 6 words. If you run long, trim the proof paragraph last; trim background and adjectives first.

How do recruiters actually read cover letters?

Most hiring managers read them, but quickly. In a Resume Genius survey of 625 U.S. hiring managers run through Pollfish (the page dates it to 2022; its dataset metadata says 2023), 83% said they always or frequently read cover letters, and 73% of managers at companies that do not require them still read them. Reading time was short:

Time spent on a cover letterShare of hiring managers
Less than 30 seconds36%
30 seconds to 2 minutes48%
More than 2 minutes15%

Ninety-four percent said cover letters influence interview decisions, and 67% called them important for inviting an applicant to interview. Resume Genius sells resume tools, so read the figures as one vendor’s survey, not a census.

An older poll, ResumeLab’s survey of 205 HR professionals as reported by The Muse (updated October 2022), asked about length directly: 42% preferred half a page to one page, 40% preferred under half a page and 18% preferred more than one page. We did not read the original ResumeLab report, so we cite it through The Muse. Taken together, the numbers support a letter that can be read in about a minute, the standard recruiter Steven Davis gives in the same Muse article.

You may also see claims that recruiters give a cover letter only a few seconds. We found no published study behind them, so we do not use them. The measured figures are the ones above.

What should you cut, and what should you never cut?

Cut anything the reader already has or does not need; keep the parts that prove you can do this job. Use this list when a draft runs over 400 words.

Cut:

  • A second summary of your resume. The letter should add context, not repeat bullet points.
  • Adjectives you cannot back up (“passionate,” “hard-working,” “team player”).
  • Explanations of gaps or missing requirements. Address them in an interview if asked.
  • Salary history, personal details and a full address block when you send the letter by email.

Never cut:

  • The exact job title and company name, which shows the letter was written for this role.
  • At least one measurable result tied to a requirement in the posting, such as “cut onboarding time from 38 to 24 days.”
  • The reason you want this employer, in one concrete sentence.
  • A clear close that states what you want next.
  • The greeting. If you cannot find a name, see who to address a cover letter to.

Tailoring is what lets you stay short: when the letter mirrors the posting’s language, 300 words are enough. Our guide to tailoring your resume to a job description uses the same method, and the free ATS resume checker shows which posting terms your resume already covers. For the terms themselves, see ATS resume keywords.

What does a good cover letter look like at about 270 words?

A good letter fits on roughly half to two-thirds of a page and can be read in under a minute. The sample below is invented for illustration (names and numbers are placeholders, not a real case). Replace every detail with your own.

Dear Ms. Alvarez,

I am applying for the Customer Success Manager role at Brightline Software. Your posting asks for someone who can turn onboarding into long-term retention, and that is the work I have done for the past four years at Cloudly, where I manage a book of 85 mid-market accounts.

Last year I rebuilt Cloudly's 90-day onboarding plan after noticing that most churn happened in the first quarter. The new plan added a week-two check-in, a shared success dashboard and a short training series for admins. First-year renewal rose from 81% to 89%, and the average time to first value fell from 38 days to 24.

Two other results map to your posting. I led a migration of 40 accounts to a new billing platform with no missed invoices, and I created a playbook for expansion conversations that my team used to add $310,000 in upsell revenue. I enjoy the mix of analysis and relationship work, and I like explaining a product to customers in plain language. I also mentor two newer teammates, which has taught me to explain processes clearly.

Brightline's focus on the logistics industry also appeals to me, because I spent three years in supply chain operations before moving into customer success. I understand the pressure your customers face when a shipment is late, and I would bring that perspective to every call.

I would welcome a conversation about how I can help Brightline keep and grow its accounts. I have attached my resume and can share the onboarding plan and dashboard samples on request. Thank you for your time and consideration.

Sincerely,
Jordan Lee

How do formatting choices change how long a cover letter feels?

Formatting does not change your word count, but it changes whether the page looks short enough to read. Indeed recommends 12-point type, 1-inch margins and a blank line between paragraphs, which leaves white space around 250 to 400 words.

  • Font: use a standard font at 11 or 12 points. Dropping below that to fit more words makes a dense page and does not shorten the reading time.
  • Margins: keep 1 inch on all sides. Narrow margins signal that you ran out of room.
  • File: send a PDF unless the employer asks for another format; Resume Genius reports that managers prefer PDF.

If a letter spills onto a second page by three lines, cut words instead of shrinking the font.

What if the job application has a word or character limit?

Follow the limit exactly; an over-limit entry may be cut off or rejected. Check what the form counts: some forms count characters including spaces, others count words.

Typical English prose averages roughly 5 to 6 characters per word including spaces, so a 1,500-character box holds about 250 to 300 words. That is an estimate, so paste your text into the form to check before you submit.

For short-form prompts, Coursera reports that employers often ask two to five questions and that each answer is typically 100 to 250 words. Answer the question in the first sentence, then give one specific example using the STAR structure (situation, task, action, result).

If a form offers both a text box and an upload, use the box for a short version of your strongest paragraph and upload the full letter as a PDF. When you apply by email, our guide to what to write in an email when sending a resume and our professional email examples cover the email version in detail.

How long should a cover letter be outside the US?

Most countries we could source expect one page, and word counts are close to the US range. The table lists what we could verify from official or university sources; we left out countries where we found no usable source.

We left out Japan: the sources we found were commercial guides, and Japanese applications use their own standard documents. Check the employer’s instructions.

Our guide to how to find a job faster has a routine that works in any country.

When should you skip a cover letter?

Skip it only when you cannot submit one or the posting says not to. If the field is marked optional, send one: in the Resume Genius survey, 73% of managers at companies that do not require cover letters still read them.

Skip the letter when:

  • The application portal has no upload or text field for one and the posting does not ask for it.
  • The posting says “no cover letters” or “resumes only.”
  • A referral contact asked only for your resume.
  • You are filling in a short, structured application where each field has its own question.

Send a short letter (150 words or fewer) when you are changing careers, explaining a relocation or applying to a small company where a person reads every application. If your applications are not leading to interviews at all, look at the rest of your approach in why am I not getting interviews.

A one-minute length check before you send

Run this check on every letter:

  1. Count the words. Is the total between 250 and 400, or within the employer’s limit?
  2. Check that it fits on one page at 12-point type with 1-inch margins.
  3. Confirm that the first sentence names the role and the company.
  4. Delete any sentence that repeats your resume.
  5. Read it aloud. If it takes more than about a minute, cut a paragraph.

Frequently Asked Questions

Still have a question?

Send us a message from our contact page.

Is 400 words too long for a cover letter?

No, 400 words is the top of the usual range. It fills close to one page at 12-point type and works for experienced candidates with several relevant achievements. For entry-level roles, emails and online forms, aim lower, between 200 and 300 words, and cut any sentence that repeats your resume.

Is a 600 word cover letter too long?

Yes, for almost every job. Six hundred words runs past one page at normal margins and font size, and the common guidance from Indeed, The Muse and university career centers is 250 to 400 words. The exceptions are academic applications, which often run two pages, and employers that ask for a longer statement.

Is a two page cover letter too long?

For most corporate and nonprofit jobs, yes: stay on one page. Faculty and some research applications are the exception, where Northwestern describes the academic cover letter as a single-spaced, two-page document. If the posting does not say, treat one page as the limit.

How many paragraphs should a cover letter have?

Use three or four short paragraphs: an opening that names the role and your strongest fit, one or two paragraphs of proof with specific results, and a brief close that asks for a conversation. Each paragraph should run about 40 to 80 words, which keeps the whole letter near 300 words.

How long should an email cover letter be?

When the letter is pasted into the email body, keep it to about 150 to 200 words, shorter than an attached letter, according to Resume.io (May 2026). Name the role in the subject line, open with your strongest fit and say that your resume is attached. Skip the formal address block and date.

How long should a cover letter be for an internship or entry-level job?

Aim for 200 to 300 words and no more than one page. With little work history, use the space for one or two class projects, internships or volunteer results that match the posting, and for why you want this employer. Do not pad the letter to reach 400 words; a tight letter reads as confident.

What should you not include in a cover letter?

Leave out a second summary of your resume, apologies for missing experience, salary history, generic praise such as "I am a hard worker," and anything unrelated to the job. Each sentence should either prove a requirement in the posting or explain why you want this employer. If it does neither, cut it.
