ATS Resume Format: Layout Rules, Full Example and Template

ATS resume format explained: one column, standard headings, safe fonts, consistent dates and PDF vs Word, plus a full sample resume to copy.

Single-column resume with standard headings beside a two-column resume whose text a parser mixes up

The best ATS resume format is a single-column, reverse-chronological layout with standard headings (Summary, Work Experience, Education, Skills), a common font at 10 to 12 points, consistent dates and your contact details in the body of the page, not in a header. Save it as a text-based PDF or a .docx, whichever the employer asks for.

Key takeaways

  • Format matters because the ATS must turn your file into fields. Greenhouse’s support documentation lists graphics, tables, headers and footers, columns, and contact details in a header or text box among the causes of a failed or partial resume parse.
  • Use one column, standard headings and a common font (Calibri, Arial, Georgia, Times New Roman) at 10 to 12 points. The U.S. Department of Labor’s CareerOneStop gives the same rules.
  • No source we read shows that PDF or Word parses better. Follow the employer’s instruction; if there is none, send a text-based PDF or a .docx, never a scan.
  • Write every date the same way and give a month and year for each job. CareerOneStop warns an ATS may assign a default length, such as six months, when dates are missing.
  • Test before you send: paste your resume into a plain-text editor. Text that is missing or out of order means a parser will struggle too.

What is an ATS resume format?

An ATS resume format, also called an ATS-friendly resume, is a plain, predictable layout that an applicant tracking system (ATS) can turn into labeled fields: name, contact details, job titles, employers, dates, education and skills. Greenhouse’s support documentation says its parser “auto-fills appropriate fields” from an imported resume, and that someone must type the details in by hand when parsing fails.

Recruiters then search and filter those fields. The U.S. Department of Labor’s CareerOneStop says an ATS can be set to filter out resumes that lack essential criteria, such as a required credential. Its bottom line: an ATS may misread a resume or reject it over formatting, but if you meet the requirements, human readers will see your resume.

Format is the half of the problem you fix once and reuse. The other half is wording: this page covers layout, and our guide to ATS keywords covers the words. For what goes in each section, start with our guide on how to write a resume. If you apply to many roles, an AI resume builder can tailor the wording to each posting while an AI job application bot sends the applications.

How does an ATS read a resume?

An ATS reads a resume as a stream of plain text, top to bottom, and sorts that text into fields. Anything that breaks the stream is where it fails.

  1. Extract the text. The system pulls the text layer out of your .docx or PDF. A scan has none, and CareerOneStop says scanned resumes sent as images “will not be recognized.”
  2. Find the sections. It looks for familiar headings such as Work Experience, Education and Skills. The University of Virginia Career Center advises these over unique labels like “What I’ve Done.”
  3. Assign the fields. Titles, employers and dates go into a profile. Santa Clara University’s career center notes that systems often parse dates to calculate how long you worked somewhere.
  4. Store, search and sometimes rank. Recruiters search the profile. The University of Virginia says some systems also score a resume against the posting, while CareerOneStop says ranking is rarely used.

Columns, text boxes, tables and headers sit outside that top-to-bottom stream, so they are the usual casualties.

What is the best ATS-friendly resume format?

The best format is reverse chronological: a short summary, then work history from newest to oldest, then education and skills. It is what recruiters expect, and every title and date appears where a parser looks for it.

FormatHow it is builtParsing risk (our read of the sources)Best for
Reverse chronologicalSummary, experience newest first, education, skillsLowMost people with a steady history
Combination (hybrid)Summary and key skills with proof, then a full dated work historyLow, if every job keeps its title, employer and datesCareer changers, employment gaps
FunctionalSkills grouped by theme, little or no work historyHighRarely the right choice

CareerOneStop says a functional resume “may be misinterpreted by employers, or rejected by applicant tracking systems,” and the University of Texas at Austin’s career services tell students to avoid it. CareerOneStop says a combination format works well for most people, including career changers.

What are the ATS resume layout rules?

Ten layout choices cover nearly every failure the sources describe (checked October 2026). The full list is on CareerOneStop’s formatting page.

RuleWhat to doSource
ColumnsOne column, read top to bottom, no sidebarCareerOneStop
HeadingsStandard labels: Work Experience, Education, SkillsUniv. of Virginia, Santa Clara Univ.

BulletsOne plain style; vertical bars may separate items on a lineCareerOneStop
DatesOne style, month and year for start and end: “March 2022 - Present”CareerOneStop, Santa Clara Univ.
NamesFull titles and company names: “Senior Account Executive”, “Northfield Distribution, Inc.”Greenhouse
LengthOne page early in your career, two when experience needs itCareerOneStop

Which font is best for an ATS resume?

CareerOneStop lists Calibri, Arial, Georgia, Garamond and Times New Roman, and MIT’s career office adds Cambria and Helvetica. Pick one, keep body text at 10 to 12 points and let headings run a few points larger. MIT warns that an unusual font may be converted, which can delete or ignore text.

Is PDF or Word better for an ATS?

Neither is proven better, so follow the employer’s instruction first. With no instruction, the sources we read accept either a text-based PDF or a .docx.

Source (read October 2026)File type guidance
Greenhouse support (updated August 19, 2026)Accepts .doc, .docx, .pdf, .rtf and .txt; cannot parse a resume over 2.5 MB
CareerOneStop (U.S. Department of Labor)No format specified: Word, PDF or plain text (its formatting page says PDF); never a scanned image
MIT career officeA .doc/.docx or .pdf is usually safe; use the type the ATS requests
University of Virginia Career CenterPDF, .doc or .docx for most; PDFs keep formatting better; check each application
Santa Clara University career centerPrioritize PDF if allowed; make sure it is not image-based
Indeed career adviceA .docx may be best for compatibility; some systems accept PDFs

The sources lean in different directions and none publishes a controlled test, so treat blanket claims that “PDFs fail ATS” or “Word always wins” as unproven. Use these rules instead:

  1. Follow the posting. If it names a type, use it, even if the form accepts others.
  2. With no instruction, pick one. Send a text-based PDF exported from Word or Google Docs, or a .docx. Keep both saved.
  3. Never send a scan. A photo of paper has no text for a parser to read.
  4. Test design-tool exports. MIT warns that Canva, LaTeX and some online builders can add formatting that confuses an ATS, and the University of Texas at Austin says ATS cannot read them accurately.
  5. Name the file clearly. CareerOneStop suggests your full name plus job title: “Sarah-Smith-Marketing-Coordinator.docx”.

What does an ATS-friendly resume look like? (Full example)

It looks like a plain document: name and contact line, a short summary, skills, dated experience newest first, then education. This fictional sample suits a few years of experience; copy the structure, never the facts.

  • The contact line is the second line of the page, not in a header.
  • Every job has a full title, an employer name with “Inc.” or “LLC”, a city and a month-and-year range.
  • Vertical bars separate items on one line, which CareerOneStop allows. In Word, use plain round bullets instead of hyphens.

What order should resume sections go in?

Put the section that proves your fit first. CareerOneStop’s typical order is contact details, an optional summary, a skills section if technical skills are key, then work history, newest first. Education moves near the top only if you are a new graduate or the job requires it; otherwise it follows work history.

What are the most common ATS resume format mistakes?

The most common mistakes are columns, details in headers, tables, graphics, creative headings and inconsistent dates.

ATS resume format checklist

Run this list on your final file before you apply.

  • One column, with no sidebar, table or text box.
  • Contact details sit in the body, not in a header or footer.
  • Standard headings: Summary, Skills, Work Experience, Education.
  • One common font at 10 to 12 points, with plain bullets.
  • Every job has a full title, employer, city and month-and-year dates in one style.
  • No photo, icons, logos or skill bars.
  • Specialist acronyms spelled out once, with the short form in parentheses.
  • A text-based PDF or .docx, matching the posting and small (Greenhouse cannot parse files over 2.5 MB).
  • The copy-paste test shows all the text, in order.
  • Every online-form field filled in, even where it repeats your resume (University of Virginia).

How do I convert my resume to an ATS-friendly format?

Convert it by stripping the formatting, rebuilding the same content in a plain single-column document and testing the result.

  1. Keep your designed version for networking and interviews. MIT’s career office suggests artistic resumes for direct delivery only.
  2. Strip the formatting. Copy everything into a plain-text editor such as Notepad or TextEdit.
  3. Rebuild it. Paste each section under a standard heading in Word, Google Docs or one of the templates above.
  4. Fix the details. Write full job titles, one date style and plain bullets, and delete tables, icons and photos.
  5. Export, test and tailor. Save a text-based PDF or .docx, run the check below, then match the wording to the posting, as our guide to tailoring your resume to a job description explains.

How do I check if my resume is ATS-friendly?

Run the plain-text test first, then use a checker for a second opinion.

  1. Copy-paste test. Open your file, select all, copy and paste into a plain-text editor. MIT’s career office suggests saving a .txt file instead. Look for missing text and text in the wrong order.
  2. Use a checker. Paste the text into our free ATS resume checker. It is rule-based and reads English resumes only. Pasted text hides tables and columns, so the copy-paste test still matters.
  3. Read the score as a to-do list. It gives an ATS readiness score from 0 to 100 from the resume alone, built from seven parts: sections, contact details, layout and parsing, dates, length, writing and bullet points. On this checker 70 or more is good and 85 or more is strong. It is not any employer’s score.

ATS-friendly resume format for freshers (India)

For a fresher, the ATS format is a one-page, single-column resume that puts Education first, then projects, internships, skills and certifications. The U.S. Department of Labor’s CareerOneStop advises placing Education near the top for new graduates and using two pages only when experience requires it, so one page is right.

Some templates used in India include a photo, date of birth, father’s name or a declaration line. None helps an ATS read your resume, and a photo is an image the parser cannot read (Greenhouse lists photos among parse failures). Leave them off unless an employer asks.

Job boards such as Naukri have their own upload forms and file-size limits, so check the limit on the upload screen and run the copy-paste test. If you keep a Naukri profile, our Naukri resume headline examples cover the one-line title at the top of it.

Does a perfect ATS format get you interviews?

No. A clean format only lets the parser read you, and interviews come from matching the job. If you apply and hear nothing, check the wording against the posting first. Our guide on why you are not getting interviews covers the other causes.

If you draft with a chatbot, run the same tests on the output; our guide to a ChatGPT resume shows how. CareerOneStop warns that AI can generate descriptions that exaggerate your experience, so keep only true information.

How JobsAICopilot fits in

JobsAICopilot is an AI job application bot. You upload your resume once and set filters for titles, locations, remote work, salary and companies to skip. The copilot searches 600,000+ company career pages every day, tailors each application and can apply automatically on official company career pages. Review Mode lets you approve every application before it is sent.

Format matters here for a plain reason: on Premium, your copilot uses the resume you uploaded, so upload a clean single-column file. Elite also tailors your resume for each application. The AI Resume Creator rewrites weak sections and adapts the wording to a job, and the finished resume is ready to review and download in the app. It cannot tell you how a particular employer’s ATS will parse a file, so run the copy-paste test. It does not apply through job boards such as Naukri or Indeed.

Premium is from $33.69/month for up to 20 applications a day. Elite is $44.96/month for up to 50. There is no free trial.

Frequently Asked Questions

Still have a question?

Send us a message from our contact page.

What is the ATS format for a resume?

The ATS format is a plain, single-column layout with standard headings such as Summary, Work Experience, Education and Skills, a common font at 10 to 12 points, consistent dates and contact details in the body of the page. It avoids tables, text boxes, columns, headers, footers and images, which parsers can skip or scramble.

Is PDF or Word better for ATS?

Neither is proven better. The U.S. Department of Labor's CareerOneStop says to use Word, PDF or plain text when no format is specified, and Greenhouse accepts .doc, .docx, .pdf, .rtf and .txt. Follow the employer's instruction first. Otherwise send a text-based PDF or a .docx, and never a scanned image.

Can an ATS read a two-column resume?

It can, but it is risky. CareerOneStop explains that applicant tracking systems read left to right, so a sidebar can merge into your job history, and Greenhouse lists columned layouts among the causes of a failed parse. Use one column for online applications and keep a designed version for networking or interviews.

Is 80% a good ATS score?

There is no universal ATS score. Some applicant tracking systems rank applicants for recruiters, but there is no standard percentage, and every resume checker uses its own formula. On our free ATS resume checker, which reads English resumes only, 70 or more is good and 85 or more is strong. That is not any employer's score, so treat it as a to-do list.

Can ChatGPT make an ATS-friendly resume?

It can draft wording, but you must check the file. A chatbot may suggest tables, icons or two columns, and CareerOneStop warns that AI-written descriptions can exaggerate your experience. Ask for plain text under standard headings, paste it into a single-column document, keep only true facts and run the plain-text test before you send it.

What is the best font for an ATS resume?

Use one common font at 10 to 12 points. CareerOneStop lists Calibri, Arial, Georgia, Garamond and Times New Roman, and MIT's career office adds Cambria and Helvetica. Headings can run a few points larger. MIT warns that an unusual font may be converted by the ATS, which can delete or ignore text.

What is the best ATS resume format for freshers?

A one-page, single-column resume that puts Education first, then projects, internships, skills and certifications. The U.S. Department of Labor's CareerOneStop advises placing Education near the top for new graduates. Skip the photo, date of birth and declaration line: they add nothing for an ATS, and a photo is an image the parser cannot read.
